This prompt template is designed for Claude to effectively manage your inbox. Copy and paste it directly into Claude Cowork or Claude Code, replacing the bracketed placeholders with your specific information.

Email Triage Cowork Prompt

Use Claude in Chrome to manage my Outlook inbox (outlook.office.com). For each email, evaluate whether it matches any of the categories below and take the appropriate action before moving to the next email.

Categories & Actions:
1. Cold Outreach → Move to "Cold Outreach" folder
   * Indicators: Unverified sender, sales pitch, unsolicited service/demo offers
   * Check all emails in threads (move even if it's a follow-up)
   * NOT cold outreach: emails with [your company] team members or [key contact] contacts

2. Calendar Invites → Accept if no scheduling conflict; skip if conflict exists and delete email if the event occurs in the past

3. Accepted Meeting Responses → Archive the email and all emails in the thread except those that explicitly say "Declined" or "Tentative"

4. Priority Emails → Pin if:
   * From [VIP contacts], OR
   * Directly addressed to me (e.g., "Hi [Name]", "Dear [Name]"), OR
   * Specifically calling me out (e.g., "looping [Name]", "@[Name]")

5. Weekly Updates → Move to "Weekly Updates" folder if:
   * Has the words "Weekly" and "Update" in the title, AND
   * NOT addressed to me directly

6. Travel → Create calendar holds for:
   * Confirmed travel from airlines, OR
   * Meetings discussed and confirmed by me but not yet on calendar

Process: Review each email in the inbox one at a time, evaluating it against ALL categories above before moving to the next email. After completing the review, provide a summary of emails affected, grouped by action taken (e.g., Moved to Cold Outreach, Accepted, Archived, Pinned, etc.).

Implement the email triage rules above and do not ask me before taking action in accordance with those rules. If none of those rules apply then do nothing. Please mark emails as unread after you look at them if they were previously in an unread state.
